How to use the Grooming Equipment & Maintenance Log

Sharpen blades, service clippers and keep the van running before something fails mid-groom. Here's every step, with screenshots from the real spreadsheet.

Before you start

The one rule: yellow cells with blue text are yours to fill in. Gray cells calculate on their own and are locked, so you can't erase a formula by accident.
  1. Your download is a zip with two files. Double-click it to open it. Start with the one marked with examples to see how everything works, then use the blank one for your business.
  2. Open the file in Microsoft Excel. Using Google Sheets? Upload it to Google Drive, then open it with Google Sheets.
  3. Start on the Start Here tab. It has the same steps, right inside the file.
  4. The sample data is there so you can see how everything works. Type over it with your own when you're ready.

Here's how to list your equipment once, then let the Dashboard tell you what's due.

1Set up (one time, about 10 minutes)

  1. Open Settings. Enter how many grooms you do a week and what an hour of grooming brings in. That's how downtime cost is figured.

  1. Open Equipment. One row per item: clippers, blades, shears, dryers, tubs, and van systems like the generator and water heater.
  2. Enter purchase date, price, expected life and warranty end date.
  3. Set Service every and pick the unit: Days, Weeks, Months, Grooms, Engine hours or Miles.

  1. Open Service Log. Add a row for every sharpening, service, repair or replacement. Pick the item from the list.
  2. Enter the cost and any downtime hours. The next due date resets on its own.

4Check the Dashboard weekly

What the messages mean

The tool watches your numbers and tells you in plain words when something needs a look. Here's every message you might see.

Overdue
What it means: The service date has passed.
What to do: Service it, then log it on Service Log.
Due soon
What it means: Service is coming up.
What to do: Plan it around your book.
No schedule
What it means: Service every is blank or 0.
What to do: Enter an interval and a unit.
Pick a unit
What it means: There's an interval but no unit.
What to do: Pick Days, Weeks, Months, Grooms, Engine hours or Miles.
Item isn't on the Equipment tab.
What it means: The service log row names an item that isn't listed.
What to do: Pick it from the list, or add it on Equipment.

Using Google Sheets or your phone

  • To use Google Sheets, upload the file to Google Drive, then right-click it and choose Open with, then Google Sheets.
  • Dropdowns, colors, and every calculation work the same in Google Sheets.
  • On a phone, the Google Sheets and Excel apps work for quick changes. For setup and printing, a computer is easier.
  • Want to start fresh? Type over the yellow example cells. Don't delete rows, since other tabs may be reading them.

Common questions

Can I track blades by grooms?

Yes. Pick Grooms as the unit and set your grooms per week on Settings.

Does it work for a mobile van?

Yes. Track the generator by engine hours and the van by miles.

Welcome

A dull blade or a dryer that quits mid-groom costs you a whole day of appointments. This log tells you what's due before it fails, tracks every sharpening and repair, and shows what your equipment really costs you each year, for salon and mobile groomers.

Setup (About 15 Minutes, One Time)

Open 'Settings'. Enter your grooms per week, your revenue per grooming hour, and for mobile, your generator hours and van miles per week.

Open 'Equipment'. Add each item: what you paid, when, how long it should last, and the warranty end date.

Set how often each item needs service. Use days, weeks or months for most things, grooms for blades, engine hours for a generator and miles for the van.

Every Week

Did something get sharpened, serviced or repaired? Add a row on 'Service Log' with the date, cost and any downtime.

Check the 'Dashboard'. It lists what's overdue or due soon, and warranties that are about to end.

What It Tells You

What each item costs you per year, including wear, service and repairs.

What downtime has cost you in lost appointments.

How much to set aside each month so replacing a dryer or a generator is never a surprise.

Handy Tips

Blades dull by use, not by date, so set them in grooms. Most #10 blades need sharpening every 50 to 80 grooms.

Type each item name the same way on the Service Log as on the Equipment tab.

Mobile items like the van, generator and water heater are marked Mobile. Salon-only shops can delete them or leave them blank.

Using Google Sheets? Upload this file to Google Drive and open it with Google Sheets. Everything works the same.

Safety Note

Follow the maker's instructions for servicing clippers, dryers, generators and water heaters. Unplug tools before cleaning or changing blades.

This file is licensed to one business, including everyone who works there. Please don't share, resell or post it online.
