How to use the Pool Service Quote Calculator

Price any pool's monthly service from your time, chemicals, driving and overhead, plus one-time jobs, at your target margin. Here's every step.

Before you start

The one rule: yellow cells with blue text are yours to fill in. Gray cells calculate on their own and are locked, so you can't erase a formula by accident.
  1. Your download is a zip with two files. Double-click it to open it. Start with the one marked with examples to see how everything works, then use the blank one for your business.
  2. Open the file in Microsoft Excel. Using Google Sheets? Upload it to Google Drive, then open it with Google Sheets.
  3. Start on the Start Here tab. It has the same steps, right inside the file.
  4. The sample data is there so you can see how everything works. Type over it with your own when you're ready.

Here's how to go from a new file to a priced, printable quote. Setup takes about 10 minutes, once. After that, a quote takes a few minutes.

1Set up your costs (one time, about 10 minutes)

  1. Open Settings. Add your business details, labor cost, monthly overhead, equipment cost and billable hours.
  2. Set your target margin, minimum monthly price and the hourly rate for extra work.
  3. Open Service Menu. Add your one-time services with typical hours and flat prices.

2Price a pool

  1. Open Quote. Fill in the client and pool, then how often, minutes on site, chemical cost per visit and extra miles.
  2. Add one-time services below, like a green-to-clean or a filter clean.

3Check it and send the quote

  1. The Dashboard shows monthly price, per visit, cost, profit, margin and what you earn per hour on site.
  2. Open Customer Quote and print it or save it as a PDF. Your costs never show.

What the messages mean

The tool watches your numbers and tells you in plain words when something needs a look. Here's every message you might see.

Below your target margin.
What it means: The minimum or rounding left the price under your target.
What to do: Check the minimum or raise the price.
⚠ This price loses money.
What it means: The pool costs more than the price.
What to do: Check minutes, chemicals and your settings.
Add a flat price.
What it means: A Flat service has no price.
What to do: Type it on the line or the Service Menu.

Using Google Sheets or your phone

  • To use Google Sheets, upload the file to Google Drive, then right-click it and choose Open with, then Google Sheets.
  • Dropdowns, colors, and every calculation work the same in Google Sheets.
  • On a phone, the Google Sheets and Excel apps work for quick changes. For setup and printing, a computer is easier.
  • Want to start fresh? Type over the yellow example cells. Don't delete rows, since other tabs may be reading them.

Common questions

Why 4.33 visits a month?

There are 52 weeks in a year, so a weekly pool gets 52 ÷ 12 = 4.33 visits a month on average.

Where To Start

Copy 'Monthly price' into the Pool Service Client and Route Tracker as that pool's Monthly rate.

Which Cells To Edit

Yellow cells with blue text are yours to fill in. Italic yellow cells marked (optional) can stay empty. Gray cells calculate on their own and are locked.

Need to change a formula? In Excel go to Review, then Unprotect Sheet. In Google Sheets use Data, then Protect sheets and ranges. No password needed.

What The Results Mean

Visits per month: 52 weeks ÷ 12 for weekly pools (4.33), or half that for every 2 weeks.

Estimated monthly cost: labor + overhead and equipment for those hours + chemicals + driving.

Monthly price: cost at your target margin, raised to your minimum and rounded up.

Earned per hour on site: what each hour at this pool really pays after chemicals and driving.

How To Clear The Examples And Reuse It

Easiest: open the Blank file. Or select the yellow cells on the Quote tab and press Delete. Keep your Service Menu and Settings.

New quote: save a copy of the file for each pool. There are 15 one-time service lines and 50 Service Menu rows.

Good To Know

Margin vs markup: margin is profit ÷ price. A 40% margin on $100 of cost is a $166.67 price.

Chemical cost per visit: use a normal week, not a green-pool rescue. Quote rescues as a one-time service.

Minimum monthly price: small pools and spas still take a drive and a stop. The minimum keeps them worth it.

Type each Service Menu name exactly once. The Quote tab finds hours and prices by the name.

Share box: the "Share with other EasyWorkTools tools" box on the Dashboard lists the numbers this file gives to or gets from the other Pool Service tools. Copy them by hand. The labels match exactly, so it's clear where each one goes.

Getting Updates

Every update is free. When a new version is ready we email you, and you can download it any time.

Moving to a new version: copy the yellow cells from each sheet into the same sheets of the new file.

Using Google Sheets? Upload this file to Google Drive and open it with Google Sheets (or File, then Import, then Upload). The math works the same.
