Before you start
- Your download is a zip with two files. Double-click it to open it. Start with the one marked with examples to see how everything works, then use the blank one for your business.
- Open the file in Microsoft Excel. Using Google Sheets? Upload it to Google Drive, then open it with Google Sheets.
- Start on the Start Here tab. It has the same steps, right inside the file.
- The sample data is there so you can see how everything works. Type over it with your own when you're ready.
Here's how to go from a new file to a priced, printable quote. Setup takes about 15 minutes, once. After that, a quote takes a few minutes.
1Set up your prices (one time, about 15 minutes)
- Open Settings. Add your business details, hourly rate, labor cost, minimum charge and trip fee.
- Add your monthly overhead, monthly equipment cost and billable hours. Pick whether chemicals are a separate line.
- Open Price List. Add what you sell: per room, per step, per piece or per square foot, with typical time.
2Quote a job
- Open Job. Fill in the client, address, job name and round-trip miles.
- Add one line per item. Pick it from the list and type how many rooms, steps or square feet.
- Add each line's chemical cost, or paste the job total from the Chemical Mix calculator on the Dashboard.
3Check the price and print the quote
- The Dashboard shows quoted price, estimated job cost, profit, margin and what you earn per labor hour.
- Open Customer Quote and print it or save it as a PDF. Your costs never show.
What the messages mean
The tool watches your numbers and tells you in plain words when something needs a look. Here's every message you might see.
What to do: Type it on the line or the Price List.
What to do: Raise the price or cut hours.
What to do: Check your hours, prices and minimum.
Using Google Sheets or your phone
- To use Google Sheets, upload the file to Google Drive, then right-click it and choose Open with, then Google Sheets.
- Dropdowns, colors, and every calculation work the same in Google Sheets.
- On a phone, the Google Sheets and Excel apps work for quick changes. For setup and printing, a computer is easier.
- Want to start fresh? Type over the yellow example cells. Don't delete rows, since other tabs may be reading them.

Common questions
Why does a small job jump in price?
Your minimum charge tops it up, so a one-room job still covers the drive and setup.
Quick reference from the Start Here tab
Welcome
Price every carpet cleaning job with confidence. Pick rooms, stairs, upholstery and add-ons from your own Price List, and see the quoted price, your real job cost and your profit before you send the quote. Then print a clean quote for the customer.
Where To Start
Open 'Settings'. Add your business details, hourly rate, labor cost, minimum charge and overhead.
Open 'Price List'. Add what you sell, priced per room, per step, per piece or per square foot, with typical time for each.
Open 'Job'. Fill in the client, then add a line for each item. Pick it from the list and type how many (rooms, steps or square feet).
Check the margin on the Job tab or the 'Dashboard'.
Print or save 'Customer Quote' as a PDF and send it.
Copy 'Quoted price' and 'Estimated job cost' into the Carpet Cleaning Client and Job Tracker.
Which Cells To Edit
Yellow cells with blue text are yours to fill in. Italic yellow cells marked (optional) can stay empty. Gray cells calculate on their own and are locked.
Need to change a formula? In Excel go to Review, then Unprotect Sheet. In Google Sheets use Data, then Protect sheets and ranges. No password needed.
What The Results Mean
Labor price: quantity × price each on Flat lines, or hours × your hourly rate on Hourly lines.
Estimated job cost: labor cost + overhead and equipment for those hours + chemicals + driving.
Estimated margin: profit ÷ price before sales tax. The Margin check compares it with your target.
Earned per labor hour: what each hour really paid after chemicals and driving.
How To Clear The Examples And Reuse It
Easiest: open the Blank file. Or select the yellow cells on the Job tab and press Delete. Keep your Price List and Settings.
New quote: save a copy of the file for each job. There are 30 lines per quote and 100 Price List rows.
Good To Know
Per room vs per square foot: list both on your Price List if you use both. The quote uses whichever line you pick.
Minimum charge vs trip fee: the minimum tops up small jobs only. A trip fee is added to every quote.
Quoted price vs job cost: the quoted price is what the customer pays. Job cost is what the job costs you. The difference is your profit.
Type each Price List name exactly once. The Job tab finds hours and prices by the name.
Share box: the "Share with other EasyWorkTools tools" box on the Dashboard lists the numbers this file gives to or gets from the other Carpet Cleaning tools. Copy them by hand. The labels match exactly, so it's clear where each one goes.
Getting Updates
Every update is free. When a new version is ready we email you, and you can download it any time.
Moving to a new version: copy the yellow cells from each sheet into the same sheets of the new file.
