How to use the Detailing Equipment Log

Keep the pressure washer, polishers and generator running before something fails on a job. Here's every step, with screenshots from the real spreadsheet.

Before you start

The one rule: yellow cells with blue text are yours to fill in. Gray cells calculate on their own and are locked, so you can't erase a formula by accident.
  1. Your download is a zip with two files. Double-click it to open it. Start with the one marked with examples to see how everything works, then use the blank one for your business.
  2. Open the file in Microsoft Excel. Using Google Sheets? Upload it to Google Drive, then open it with Google Sheets.
  3. Start on the Start Here tab. It has the same steps, right inside the file.
  4. The sample data is there so you can see how everything works. Type over it with your own when you're ready.

Here's how to list your equipment once, then let the Dashboard tell you what's due.

1Set up (one time, about 10 minutes)

  1. Open Settings. Enter vehicles per week, revenue per working hour, engine hours and miles per week.

  1. Open Equipment. Add each item with purchase date, price, expected life and warranty end.
  2. Set Service every and pick the unit: Days, Weeks, Months, Jobs, Engine hours or Miles.

3Log service and repairs

  1. Open Service Log. Add every service, repair or replacement with cost and downtime. The next due date resets on its own.

4Check the Dashboard weekly

What the messages mean

The tool watches your numbers and tells you in plain words when something needs a look. Here's every message you might see.

Overdue
What it means: The service date has passed.
What to do: Service it and log it.
Due soon
What it means: Service is coming up.
What to do: Plan it around your jobs.
No schedule
What it means: Service every is blank or 0.
What to do: Enter an interval and a unit.
Item isn't on the Equipment tab.
What it means: The log names an item that isn't listed.
What to do: Pick it from the list.

Using Google Sheets or your phone

  • To use Google Sheets, upload the file to Google Drive, then right-click it and choose Open with, then Google Sheets.
  • Dropdowns, colors, and every calculation work the same in Google Sheets.
  • On a phone, the Google Sheets and Excel apps work for quick changes. For setup and printing, a computer is easier.
  • Want to start fresh? Type over the yellow example cells. Don't delete rows, since other tabs may be reading them.

Can I track pads by jobs?

Yes. Pick Jobs as the unit.

Welcome

A pressure washer that loses pressure or a polisher that quits mid-correction costs you the job and the customer's trust. This log tells you what's due before it fails, tracks every service and repair, and shows what your equipment really costs per vehicle.

Setup (About 15 Minutes, One Time)

Open 'Settings'. Enter your vehicles per week, your revenue per working hour, and for mobile, your generator hours and van or truck miles per week.

Open 'Equipment'. Add each item: what you paid, when, how long it should last, and the warranty end date.

Set how often each item needs service. Use days, weeks or months for most things, jobs for pads and towels, engine hours for the generator and pressure washer, and miles for the vehicle.

Every Week

Serviced, cleaned, repaired or replaced something? Add a row on 'Service Log' with the date, cost and any downtime.

Check the 'Dashboard'. It lists what's overdue or due soon, and warranties that are about to end.

What It Tells You

What each item costs you per year, including wear, service and repairs.

What downtime has cost you in lost jobs.

How much to set aside each month so replacing a pressure washer or generator is never a surprise.

Handy Tips

Polishing pads wear by use, not by date, so set them in jobs.

Type each item name the same way on the Service Log as on the Equipment tab.

Mobile items like the van, generator and water tank are marked Mobile. Shop-only detailers can delete them or leave them blank.

Using Google Sheets? Upload this file to Google Drive and open it with Google Sheets. The math works the same there. Locks don't carry over to Google Sheets, so type only in the yellow cells, and print with File > Print.

Safety Note

Follow the maker's instructions for servicing pressure washers, generators, polishers and extractors. Relieve pressure and disconnect power before service.
