How to use the Handyman Quote Calculator

Price any handyman job by the task, hourly or flat rate, with parts markup, a minimum charge and your real profit. Here's every step.

Before you start

The one rule: yellow cells with blue text are yours to fill in. Gray cells calculate on their own and are locked, so you can't erase a formula by accident.
  1. Your download is a zip with two files. Double-click it to open it. Start with the one marked with examples to see how everything works, then use the blank one for your business.
  2. Open the file in Microsoft Excel. Using Google Sheets? Upload it to Google Drive, then open it with Google Sheets.
  3. Start on the Start Here tab. It has the same steps, right inside the file.
  4. The sample data is there so you can see how everything works. Type over it with your own when you're ready.

Here's how to go from a new file to a priced, printable quote. Setup takes about 15 minutes, once. After that, a quote takes a few minutes.

1Set up your rates (one time, about 15 minutes)

  1. Open Settings. Add your business details, hourly rate, labor cost, minimum charge, trip fee and materials markup.
  2. Add your monthly overhead, monthly equipment cost and the hours you bill in a month. Overhead per labor hour works itself out.
  3. Open Task Menu. Add the jobs you do most, with Hourly or Flat, typical hours and flat prices.

2Quote a job

  1. Open Job. Fill in the client, address, job name and round-trip miles.
  2. Add one line per task. Pick it from the menu and type the quantity. Add the parts at your cost.
  3. Using the Materials calculator? Paste its materials cost on the Dashboard instead.

3Check the price and print the quote

  1. The Dashboard shows quoted price, estimated job cost, profit, margin and what you earn per labor hour.
  2. Open Customer Quote and print it or save it as a PDF. It shows each task and price, never your costs.

What the messages mean

The tool watches your numbers and tells you in plain words when something needs a look. Here's every message you might see.

Add a flat price for this task.
What it means: A Flat line has no price.
What to do: Type it on the line or on the Task Menu.
Add hours each so the price and cost are right.
What it means: A task has no hours.
What to do: Type the hours on the line or the Task Menu.
Below your target margin.
What it means: The quote earns less than your target.
What to do: Raise the price or cut hours.
⚠ This price loses money.
What it means: The job costs more than the price.
What to do: Check your hours, rate and minimum.

Using Google Sheets or your phone

  • To use Google Sheets, upload the file to Google Drive, then right-click it and choose Open with, then Google Sheets.
  • Dropdowns, colors, and every calculation work the same in Google Sheets.
  • On a phone, the Google Sheets and Excel apps work for quick changes. For setup and printing, a computer is easier.
  • Want to start fresh? Type over the yellow example cells. Don't delete rows, since other tabs may be reading them.

Common questions

Flat or hourly?

Flat for jobs you've done many times, hourly for jobs with surprises. You can mix both on one quote.

Where does overhead go?

Monthly overhead and equipment are spread over your billable hours and added to every labor hour in the job cost.

Welcome

Price every handyman job with confidence. Pick tasks from your own menu, add parts with your markup, and see the quoted price, your real job cost and your profit before you send the quote. Then print a clean quote for the customer.

Where To Start

Open 'Settings'. Add your business details, your hourly rate, your labor cost, minimum charge and markup. Check the overhead lines.

Open 'Task Menu'. Add the jobs you do most with typical hours and, for flat-rate jobs, your flat price.

Open 'Job'. Fill in the client, then add a line for each task. Pick it from the menu and type the quantity. Add parts at your cost.

Check the margin on the Job tab or the 'Dashboard'. Raise the price or cut hours if it's below your target.

Print or save 'Customer Quote' as a PDF and send it.

Copy 'Quoted price' and 'Estimated job cost' into the Handyman Client and Job Tracker.

Which Cells To Edit

Yellow cells with blue text are yours to fill in. Italic yellow cells marked (optional) can stay empty. Gray cells calculate on their own and are locked.

Need to change a formula? In Excel go to Review, then Unprotect Sheet. In Google Sheets use Data, then Protect sheets and ranges. No password needed.

What The Results Mean

Labor price: hours × your hourly rate on Hourly tasks, or quantity × flat price on Flat tasks.

Estimated job cost: labor cost + overhead and equipment for those hours + materials at your cost + driving.

Estimated margin: profit ÷ price before sales tax. The Margin check compares it with your target.

Earned per labor hour: what each hour really paid after parts and driving. Compare it with your hourly rate.

How To Clear The Examples And Reuse It

Easiest: open the Blank file. Or select the yellow cells on the Job tab and press Delete. Keep your Task Menu and Settings.

New quote: save a copy of the file for each job. There are 30 task lines per quote and 100 Task Menu rows.

Good To Know

Hourly vs Flat: Flat lines use the flat price for the price and the hours for your cost, so you still see if a flat price pays.

Minimum charge vs trip fee: the minimum tops up small jobs only. A trip fee is added to every quote.

Quoted price vs job cost: the quoted price is what the customer pays. Job cost is what the job costs you. The difference is your profit.

Type each Task Menu name exactly once. The Job tab finds hours and prices by the name.

Share box: the "Share with other EasyWorkTools tools" box on the Dashboard lists the numbers this file gives to or gets from the other Handyman tools. Copy them by hand. The labels match exactly, so it's clear where each one goes.

Getting Updates

Every update is free. When a new version is ready we email you, and you can download it any time.

Moving to a new version: copy the yellow cells from each sheet into the same sheets of the new file.

Using Google Sheets? Upload this file to Google Drive and open it with Google Sheets (or File, then Import, then Upload). The math works the same.
